Registration

Registration dates announced: Registration for YDW 2012 will start on June 4th. Continue reading for all the relevant info about registration and pricing.

The registration fee for YDW includes access to all the weekend events, food from Friday evening through Sunday afternoon (plus leftovers!), and housing in cabins or tent space. This page contains most of what you need to know before you sign up. You can also check out the venue page and the FAQ for more info. If you still have questions, email us.

Pricing

We use a “Pay What You Can” pricing system to ensure that YDW is affordable and accessible to young people while also covering our costs and making the weekend financially sustainable. This system depends on you to make an honest decision about what you can afford to pay. Check out a full description of the YDW pricing system.

Housing

Housing will be in rustic cabins or in tents (BYOT). See the venue page for more info. Tent space and cabins are the same price. You’ll be able to choose your spot when you arrive, and cabin selection is first come, first served. We’ll also have housing available in single-gender cabins and quiet areas if you request it.

Food

Skilled YDW kitchen staff and camper volunteers will work together to prepare fantastic food emphasizing local and organic ingredients, with choices for vegetarians, vegans and omnivores. Not to brag, but the food at YDW is amazing. You’ll be asked about any special diets or allergies in the registration form; please let us know your needs so that we can accommodate them!

Volunteer jobs

Each camper will be expected to pitch in with one hour of work during the weekend. Volunteer jobs range from setup and cleanup, to kitchen work, to floor sweeping, to helping with sound. You’ll be asked about volunteer preferences on the registration form.

T-shirts

T shirt design 2012

Brand new, redesigned YDW T-shirts will be available this year for $15. In order to get a T-shirt you’ll need to sign up for one and pay for it with your registration. We may have a few extras for sale at the weekend, but don’t count on it. We’ll be getting awesome American Apparel shirts in standard and scoop neck styles, both heather gray with blue printing. Yeah!

Travel Grants

This year we are offering a limited number of travel grants (supported by CDSS) to help defray the costs for people coming a really long way to attend YDW. If you are interested in applying for a travel grant, you’ll need to complete the regular registration as well as a separate grant application. Preference will be given to people who:

  1. have never attended YDW, especially if they reside outside of New England;
  2. will incur significant travel costs getting to YDW;
  3. show potential for leadership in the dance community; and
  4. have a real financial need.

p.s. Just as we hope you’ll bring something from YDW back home, we encourage you to seek support to attend YDW from your local dance community as well.

Deadlines, Cancellation, Waitlist

Registration ends July 31; all registrations must be completed online or postmarked by July 31. We do not accept late or walk-up registrations. Registration for YDW is limited to 150 people; that’s about all the room we have on the dance floor. Once we are full, you can still register to be on the waitlist. In past years, we’ve been able to admit most or all of the people on the waitlist.

If you cancel your registration on or before July 31 we will offer a full refund minus $10. If you cancel because you didn’t get a travel grant that you were counting on, we’ll offer a full refund. Between August 1 and August 31 we will refund your payment minus $45 if we can fill your spot from the waitlist. If you cancel after September 1 we will not refund your registration fee. Please note that your registration is not transferable; if you cancel we will assign your spot to the next person on the waitlist.

The fine print

Because of insurance policies, you must be 18 or older to attend. Our venue is a strictly no-smoking, cell phone-free, and alcohol- and drug-free facility. We reserve the right to ask you to leave if you violate these rules or if you behave in an unsafe or inappropriate manner. Registration is first come, first served.

Please Note: by submitting your registration online or by mail you are affirming that you recognize and acknowledge there is risk associated with participating in dancing and other related activities, and that you are physically fit to do so. You waive and release all claims, liabilities, actions, damages, costs or expenses of any nature whatsoever against the organizers, volunteers, callers, musicians and/or hosts at Youth Dance Weekend for injuries you, as the participant, might sustain, known or unknown, arising out of participation in YDW. You also agree to abide by all YDW and venue policies and regulations. You may need to sign a separate venue waiver form when you get to YDW.
